How to Evaluate a Machinery Supplier
Evaluate a machinery supplier with a common written scope, relevant trials, reference checks and a clear acceptance procedure. Sales claims, photographs and a low headline price are not enough to approve a plant investment.
Planning guidance, not a verified plant specification. Project-specific technical review with Govind Kumar is available by enquiry; this article does not claim his personal technical sign-off.
Verify the party and the proposed scope
Confirm the contracting entity, manufacturing location, scope of manufacture and which components or services come from others. Establish who provides installation, commissioning, operator training, documentation and after-sales support in your project location.
Ask for an itemised offer and an exclusions schedule. Identify the forming equipment, finishing stages, moulds, pulping, utilities, electrical interfaces, freight and taxes. Resolve ambiguous descriptions before treating two quotations as equivalent.
Request evidence that matches your application
Seek a trial plan using the intended product, pulp grade and operating conditions. Record the actual test configuration and how acceptable products are counted. A video of a machine cycle does not verify daily saleable output, product compliance or a complete utility balance.
Where customers permit, ask for relevant installation references and contact them independently. Discuss commissioning experience, service response, consumables and practical operating constraints. Do not publish a reference customer's name or results without permission.
Use a documented comparison matrix
| Topic | Evidence or agreement |
|---|---|
| Output | Product-specific basis and acceptance measurement |
| Tooling | Ownership, drawings, revisions and replacement terms |
| Utilities | Demand schedule and readiness responsibilities |
| Service | Training, spares list, response and escalation route |
| Delivery | Milestones, documentation and responsibilities |
| Commercial terms | Payment conditions, warranty, exclusions and remedies |
Align payments and technical acceptance
Discuss payment stages alongside the evidence each stage requires. Factory inspection and site acceptance serve different purposes. Define responsibilities for utilities, material, tooling, operators and measurement so neither party relies on an unwritten assumption.
Have the proposed contract reviewed by a suitable professional. Confirm the handling of deviations, delays, failed tests and warranty requests. This checklist does not determine contractual remedies or guarantee supplier performance.
Know when to pause the decision
Resolve missing acceptance criteria, incompatible capacity units, unsupported performance figures or unassigned infrastructure before purchase. If a claim cannot be evidenced, mark it unverified rather than treating it as a fact in the financial model.
For an enquiry, send one consistent brief to shortlisted suppliers and keep a decision log. PulpGuru can help structure the technical and commercial comparison; the scope of any engagement should be agreed separately.
Expert verification required: supplier credentials, product tests, installed references, financial exposure and contract terms. No certification, case study or ROI is created by this checklist.
Common questions
Is a reference video sufficient evidence?
No. It can illustrate a process, but the relevant configuration, measurement basis, test conditions and results still need verification.
Should mould ownership be explicit?
Yes. Define ownership, access to drawings, trial revisions, maintenance and replacement responsibilities in the commercial scope.
